1. Introduction
Solutions Exec LLC, a Wyoming limited liability company doing business as SolutionExec (“SolutionExec,” “we,” “us,” or “our”), operates an invitation-based network for go-to-market executives and the events, podcasts, newsletters, and related services that support that network.
This Privacy Policy (the “Policy”) explains how we collect, use, share, and protect the personal information of individuals who interact with us, including Network Members, applicants, podcast guests, sponsors, service providers, and event attendees (collectively referred to in this Policy as “you”).
This Policy is incorporated into our Terms of Service. Defined terms not defined here have the meanings given in the Terms of Service.

2. Information We Collect
2.1 Information You Provide Directly
Application and Profile Information. When you apply to join SolutionExec or submit a form requesting information, you provide the personal information requested in the form, which typically includes your name, email address, phone number (optional), company, job title, and LinkedIn profile URL.
Communications. When you communicate with us by email, text message, on event platforms, or through any other channel, you provide the information you choose to share, including any context relevant to your participation.
Event Participation. When you register for an event, podcast, or roundtable, you provide registration information and, where applicable, dietary preferences, accessibility needs, or other information necessary to facilitate your participation.
Sensitive Information. We do not request and you should not provide sensitive personal information such as Social Security numbers, government identification numbers, financial account numbers, health or medical information, racial or ethnic origin, religious beliefs, sexual orientation, or biometric data. If you provide sensitive information, we reserve the right to delete it.
2.2 Information We Receive From Third Parties
Publicly Available Business Information. We use third-party data providers (such as Apollo and Clay) to supplement information you provide with publicly available business information, such as your professional history, company information, and industry. This is used solely to personalize your experience and tailor relevant communications. We do not enrich the profiles of individuals who have not voluntarily provided their information to us.
Referrals and Introductions. If a Network Member, sponsor, or other contact refers or introduces you to us, we may receive your name, contact information, and the context of the referral.
2.3 Information We Collect Automatically
Cookies and Similar Technologies. When you visit our website, we and our analytics providers may collect device and usage information, including IP address, browser type, operating system, referring URL, pages viewed, and time spent. See our Cookie Policy for details and opt-out options.
2.4 Event Recordings
We may record audio, video, and photographs at events we host, including virtual conferences, roundtables, podcast recordings, and in-person events. We obtain consent at registration and, where required by applicable law, give attendees the opportunity to decline being recorded. Where applicable law requires explicit consent for recording (including states with two-party consent laws and biometric privacy laws), we provide such notice and obtain consent at the point of registration or attendance.
We use recordings for marketing, educational, archival, and member-access purposes, including on our website, social channels, podcast distribution, and email communications. You may withdraw consent for future use of your likeness by contacting seteam@solutionexec.com. Withdrawal does not apply to materials already published or distributed before your request.
3. How We Use Your Information
We use personal information to:
Evaluate applications and determine eligibility for SolutionExec membership
Operate, deliver, and improve our network, events, podcast, newsletter, and related services
Communicate with you about your participation, including event invitations, confirmations, and program updates
Personalize your experience and tailor content to your professional background and interests
Send marketing communications about events, content, and programs we believe will be relevant to you, where permitted
Process and respond to your inquiries and requests
Protect the safety and integrity of our network, including authenticating users, detecting fraud, and enforcing our Terms of Service and Code of Conduct
Comply with legal obligations and defend our legal rights
4. How We Share Your Information
We share personal information in the following circumstances:
4.1 Service Providers
We share information with vendors that help us operate our business, including cloud infrastructure and storage providers, customer relationship management tools, communication and community platforms, email service providers, scheduling tools, analytics providers, and data enrichment providers. These providers are contractually required to use information only for the purposes for which it was disclosed and to maintain appropriate safeguards.
4.2 Sponsors
If you attend an event sponsored by a third party, we may share your name, email address, job title, company, and LinkedIn profile with the sponsor for the sponsor's marketing and business purposes, consistent with the sponsorship arrangement disclosed at the event. Where required by applicable law, we obtain your consent before sharing your information with sponsors. Other than this limited sharing, we do not sell, rent, or lease your personal information to third parties for their own marketing or business purposes.
4.3 Legal and Safety
We may disclose information to comply with applicable law, respond to valid legal process (including subpoenas, court orders, and regulatory inquiries), enforce our agreements, investigate suspected violations, protect the rights, property, or safety of SolutionExec, our Network Members, or others, and prevent fraud or harm.
4.4 Business Transfers
If we are involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, your information may be transferred as part of that transaction.
4.5 No Sale or Sharing for Cross-Context Behavioral Advertising
We do not sell personal information for monetary consideration, and we do not share personal information for cross-context behavioral advertising as those terms are defined under the California Consumer Privacy Act.
5. Communications and Your Choices
5.1 Email Communications
You may unsubscribe from marketing emails by clicking the unsubscribe link in any marketing email or by contacting seteam@solutionexec.com. We will continue to send transactional and operational messages necessary to provide our services.
5.2 Text Messages
Text messages from SolutionExec are sent personally by James Kaikis, our founder, on a one-to-one basis. We do not operate automated SMS infrastructure or send bulk text messages. If you provide your phone number when joining, you may receive personal text messages from James regarding event invitations and program updates relevant to your participation. To stop receiving text messages, reply “STOP” to any message from us or email seteam@solutionexec.com.
5.3 Cookies and Tracking
You can control cookies through your browser settings and through the cookie management tools provided on our website. We honor Global Privacy Control (GPC) signals where applicable law requires.
6. Your Privacy Rights
6.1 Rights Available to All Users
You may contact us at seteam@solutionexec.com to:
Request access to the personal information we hold about you
Request correction of inaccurate or incomplete personal information
Request deletion of your personal information
Object to or restrict our processing of your personal information
Withdraw consent where we process personal information based on consent
Request a copy of your personal information in a portable format
We may request verification of your identity before responding to a request. We will respond within the timeframe required by applicable law.
6.2 California Residents (CCPA / CPRA)
In addition to the rights above, California residents have the right to know what personal information we have collected, sold, or shared in the past 12 months, the right to correct inaccurate personal information, the right to limit our use of sensitive personal information, the right to opt out of the sale or sharing of personal information (we do not sell or share for cross-context behavioral advertising), and the right not to be discriminated against for exercising privacy rights.

Identifiers — name, email, phone number, IP address, online identifiers
Professional information — company, job title, LinkedIn profile, employment history, professional background
Internet activity — browsing history on our site, interaction with our communications
Audio/visual — photos, audio, and video recordings from events and podcasts
Inferences — inferences drawn from the above to create a profile of preferences and interests
Sources: directly from you, from third-party data enrichment services, from referrals, and automatically through cookies and similar technologies.

Retention: as described in Section 8.

6.3 European Economic Area, United Kingdom, and Switzerland Residents
If you are located in the EEA, UK, or Switzerland, you have the rights described in Section 6.1, plus the right to lodge a complaint with your local supervisory authority.
Legal Bases for Processing. We process personal information based on:
Performance of a contract — to provide services to you
Legitimate interests — to operate, secure, and improve our services, evaluate membership applications, and communicate with you
Consent — where we rely on consent (which you may withdraw at any time)
Legal obligation — to comply with applicable law
6.4 Other Jurisdictions
Residents of other jurisdictions, including states with comprehensive privacy laws (such as Colorado, Connecticut, Virginia, Texas, and Oregon) and countries with similar protections (such as Canada and Brazil), have rights similar to those described above. 7. International Data Transfers
SolutionExec is based in the United States, and personal information we collect is processed and stored in the United States. If you access our services from outside the United States, your information will be transferred to, stored in, and processed in the United States. Where required by applicable law, we use appropriate safeguards (such as Standard Contractual Clauses) to protect international transfers.
8. Data Retention
We retain personal information for as long as necessary to provide our services and as required by applicable law. Specific retention periods include:
Active Network Member data: for the duration of your participation, plus three years
Applicant data (not accepted): up to two years
Marketing contacts: until you opt out, plus 90 days
Event recordings: indefinitely for archival and member-access purposes, subject to your right to request removal of your likeness
Communications consent records: minimum of four years for legal defense purposes
Financial records (sponsors and vendors): seven years for tax and accounting purposes
After applicable retention periods, we delete or anonymize personal information.
9. Data Security
We maintain reasonable administrative, technical, and organizational safeguards designed to protect personal information against loss, misuse, unauthorized access, disclosure, alteration, or destruction. Access to personal information is limited to personnel and service providers with a legitimate business need who are bound by confidentiality obligations. No system can guarantee complete security, and you should promptly notify us of any suspected unauthorized access to your information.
10. Data Breach Notification
In the event of a data breach affecting your personal information, we will notify affected individuals and applicable regulators in accordance with applicable law and within the timeframes required.
11. Children
Our services are intended for adult business professionals 18 years of age or older. We do not knowingly collect personal information from anyone under 18. If we learn that we have collected personal information from a person under 18, we will delete it. Parents or guardians who believe their child has provided personal information to us should contact seteam@solutionexec.com.
12. Third-Party Links and Services
Our services may contain links to or integrations with third-party websites, applications, and services that we do not control. We are not responsible for the privacy practices of those third parties, and your interactions with them are governed by their own privacy policies. We encourage you to review those policies before providing personal information to a third party.
13. Changes to This Policy
We may update this Policy from time to time. If we make material changes, we will notify you by email and post the updated Policy on our website. The “Last Updated” date at the top reflects the most recent revision. Your continued use of our services after notice of changes constitutes acceptance of the updated Policy.
